Ending a Monthly Rental: How Much Notice to Give and What the Last Day Looks Like

About 5 minutes to read

A monthly rental can end with a conversation rather than a date on a calendar. Suppose you collected the bike on 3 October and fly out on 31 October. Counting from the pickup date, the month runs to 2 or 3 November; counting by the calendar, it ends on 31 October. Nobody has said which applies. The practical fix is to settle three things well before the final week: when to tell the shop, how the last day is counted, and what happens at the final inspection and the deposit. None of this is policy this guide can state for the shop; it is a list of what to ask and a calendar to ask it on.

A calendar to work back from

The timing below is a planning suggestion, not a promise about any shop. It assumes you know your leaving date.

WhenWhat to do
As soon as the leaving date is fixedTell the shop, even if the date may still move by a day or two, and ask what notice it expects
About a week beforeConfirm the last day in writing, and ask which day and time you should bring the bike
Two or three days beforeFill the tank if the shop expects it, clean out the storage space (Lost Personal Belongings in a Returned Rental Scooter: A Recovery Checklist explains the recovery steps if something is left behind) and check you have everything that came with the bike
The day beforePhotograph the bike on every side, the dashboard and the odometer, in daylight, and take new photos at the shop before you hand it over
Last dayReturn the bike inside opening hours and get the return recorded with the real time

Treat the first row as the one that matters most. A shop that hears early can plan for the bike coming back, and you hear early what it expects from you.

Questions about notice and the last day

  1. How much notice does the shop want, and does a message count or must it be said in person or by phone?
  2. Is the last day counted from the date you collected the bike or by the calendar month?
  3. If I return the bike a few days before the end of the paid month, is any of the rest refunded, credited to something else, or not refunded?
  4. If I need the bike for a few days longer than the month, how is the extra time counted?

What the shop has confirmed is its extension fee: 20,000 VND per hour, and more than 6 hours is charged as one rental day. Ask whether that rule is the one that applies if you keep the bike beyond the agreed end. The shop’s reference price for one month is 1,000,000 to 1,200,000 VND on a manual bike and 1,200,000 to 2,000,000 VND on an automatic bike. If you decide to stay longer, ask what the extra days would cost and compare that with the monthly figure for your bike.

The last day itself

The shop is open 09:00–21:00 daily, so the last day has to fit inside those hours. A return planned for 20:45 on a day when you also have a flight to catch is a risk you can avoid by returning the day before. Hanoi Motorbike Rental for a Late Flight: Plan Pickup and Return works through the timing of the last day when the trip ends with a departure. Allow time for the walk-around, because the inspection is the part of a return that cannot be hurried. Returning a Rental Motorbike in Hanoi: A Receipt and Handover Checklist lists the steps and what the receipt should show.

The inspection and the deposit conversation

You will want to compare the bike with the photos you took at pickup, so keep them where you can find them. If you have a record of the deposit, the same file should show how it was paid. Hanoi Motorbike Rental Deposits: How to Record Payment and Return explains the entries to keep. How a deposit is returned, when and by what method, is for the shop to say. Ask the question before the last day, write down the answer, and ask for the return and the deposit outcome to be put in writing.

  • Bring the photos from pickup and your final photos, and take new ones at the counter.
  • Bring any receipt or written note from earlier in the rental, including payments for extensions.
  • Bring everything that came with the bike, such as spare keys, helmets or a lock, and ask for them to be checked off.
  • Ask for the return to be recorded with the real time, and for a receipt or written note.

If plans change in the last week
